INTERNAL ROLE TITLE: Real Estate Supervisor
REPORTS TO: Real Estate Senior Supervisor
FUNCTION: Property & Facilities Management

ROLE PURPOSE: Provide a World class standard of Real Estate business solutions. Handle all the site surveys, negotiations and interfacing with all property owners and companies providing innovative business solutions and end-to-end ownerships till finalization of the deal. Insure that all lease contracts financial obligations are fulfilled on time and adhering to VFE financial policies, procedures & SLA. Scope of Properties: Expatriate Housing, Office Spaces, Retail Stores, Warehouses, Workshops, Garages/Parking Areas, Buildings & Lands.

Key Activities / Decision Areas
1. Property Lease Management
- Implement the general guidelines of the non-technical property acquisition, renewal, relocation and cancellation as set by the department.
- Negotiate, review and approve the lease contract of the selected property to the best interest of VFE, win-win situation, as per the agreed guidelines.
- Insure that dilapidation cost, if any, is within the amount of the deposit paid.
- Insure & maintain a win-win relationship with all stakeholders during any conflict resolution.
- Keep sound & healthy relationship with Property Owners during & after the termination/cancellation of any lease contract.
- Insure a proactive & effective resolution of any reported related incident within an agreed time with the stakeholders and without interrupting the business flow.
2. Contracts Payment Control
- Ensure that all new contracts, amendments, cancellation and memos are registered & updated on the CPC system.
- Ensure the beneficiaries eligibility of all financial transactions posted to Accounts Payable Dept. on daily and monthly payments.
- Ensure that by holding, releasing and/or voiding any financial obligation according to the business needs in coordination with Rollout, Site Management, Sites' Renewals, Finance, Sales, HR and Legal departments shall not affect the business flow.
- Ensure the accurate resolution of any discrepancies arise between the actual contractual financial obligations, the system and what has been paid to the beneficiaries.
- Ensure a flawless fulfilment of all lease property contractual obligations.
- Ensure that the cheques issuance and delivery to property owners or property controllers are always on due time, betting budget, delivery targets & resources.
- Ensure that all lease payments schedules reconciliation; rents and deposits are processed on time to 99% accuracy.
3. Strict tracking of all resources, Property Assets surveys and studies.
- Ensure the usage of different reliable sources to gather Property Assets data from local market.
- Ensure reliable, concise & on time availability of all necessary updated Property Assets data and property feasibility studies to support management with reliable recommendations on due time.
- Strictly monitor all Property Assets expenses to beat the approved budget.
4. Delight customers.
- Constantly exceed customer expectations by delivering their requests & needs before due time and with exceptional quality.
- Proactively recommend & implement exceptionally creative solutions within budget.
- Efficiently use customers’ feedback to effectively enhance the workflow procedures.
- Seek first to understand then to be understood to reach a win-win mutual benefit.
5. Problem Management.
- Keep problem log that helps track the progress of repairs and solutions to other problems regarding all non-technical premises.
- Effectively solve any reported problem within an agreed time and without interrupting the business.
- Insure a win-win relationship with the problem-involved party.
6. Settle non-technical property disposal.
- Disposal of all non-technical premises lease contracts as per the termination/cancellation request of the owning department.
- Settle all paid deposits on due time.
- Insure that dilapidation cost, if any, is within the amount of the deposit paid.
- Keep sound & healthy relationship with owners after the termination/cancellation of the lease contract.

Technical / Professional Expertise
Education: University degree (preferably related to business field)
Work Experience: 5 – 7 years of relevant experience.
PC Knowledge: Mastering MS Office especially MS Excel and MS PowerPoint; MS Project is a plus.
Personal skills: Excellent command of English and Arabic written and spoken.
